Football tour planning checklist for clubs and academies

20/10/2026

A practical briefing checklist for club and academy organisers planning a team trip to Spain. Gather what you know, mark the rest as provisional and use it to start a focused conversation with your local organiser.

1. Agree the purpose of the trip

Choose your main priority: preparation for the season, player development, international opposition or time together as a team. Rank the priorities if there is more than one. This helps your organiser balance football, recovery and activities.

2. Set a date window

Share your preferred arrival and departure dates, approximate number of nights and any flexibility. Flag school holidays, fixtures and other commitments. If flights are not booked, keep their timings provisional.

3. Break down the travelling group

List each team or age category, approximate player numbers, coaches and other accompanying adults. Add a separate estimate for families and supporters. At this stage, totals and age groups are enough: do not include players' names, passport details or medical information.

4. Describe the football brief

For each team, note its playing level, preferred number of training sessions and friendlies, and whether your own staff, local coaches or both should lead the sessions. Mention any methodology you want the coaches to follow.

5. Identify practical priorities

Outline accommodation and meal preferences, airport and local transport needs, and activities the group would enjoy. A working budget range helps shape a realistic proposal. Separate essential requirements from optional extras.

6. Nominate one planning contact

Identify who will coordinate the brief, who needs to approve the proposal and when you expect to decide. For several age groups, collect their requirements together so the organiser can plan a coherent trip.

Your first enquiry: a quick checklist

  • Club or academy, country and main contact.
  • Possible dates, nights and flexibility.
  • Teams, age groups and approximate participant numbers.
  • Football objectives, playing level and coaching preferences.
  • Accommodation, transport and activity priorities.
  • Working budget, if known, and expected decision date.

You do not need every answer before getting in touch. Mark anything undecided as "to be confirmed" and build the plan together.
